Typical Features and FunctionsThis page provides a listing and brief description of each of our major features and functions. All PrivateGolfCourses.com websites are individually and custom designed using a vast array of individual components that are mixed and matched to meet each club's website needs. Clients may choose any or all features, multiples of the same feature, and may even devise new features and functions. Member Directory Member contact information including addresses, phone numbers, multiple email addresses and much more can be stored here for quick reference by members. Over thirty fields are already defined and custom fields can be added. Members are prompted periodically to update their information in order to keep the information current. When members make changes, a confirming email is sent to the appropriate person at the club so they can update other club records. Announcements Latest news and information is the primary focus on this page with messages that can be set up in advance of when they go live, and disappear automatically when they expire. The Announcements page is a great place to promote activities, celebrate member achievements, announce tournament results, welcome new members, etc. The Announcements page is better known as the Member Home page because it is the first page members see upon logging into the website. Activities Pages Any activity in the club may have its own page on the website for displaying news, promotions and announcements and for storing documents relating to that activity. Examples of common club activities include golf, tennis, swimming, sailboat racing, youth activities, card club, wine tasting, etc. Activity pages are available for any area of interest, without limit. Calendars This is a page where any date-related event or schedule can be stored for quick reference by members and staff alike. Members can choose to view the calendar as a listing that can be sorted by date, event type, etc., or as a traditional wall-style calendar. Member Email Messaging Send email messages to all members or to distribution lists of members such as the board or committees or to subscription lists of members interested in a special activity such as youth activities or tennis. With subscription lists members choose if they want to receive the messages. Messages can be sent to any or all of the multiple email addresses that are stored in the member directory. Photo Gallery Add a new photo gallery for every club event and then upload dozens or even hundreds of photos for each event. Members can choose to view Photo Galleries as a collection of thumbnail photos that, when clicked, reveal full size pictures, or they may choose to view galleries as an automatic slide show with photos changing at intervals specified by the member. A 'default' gallery can be set so that last weekend's event will be shown first. Newsletters A library for current and past issues of the club's newsletter. Newsletters can be posted in several formats (doc, jpg, gif) in addition to the typical Adobe Acrobat pdf format. Members can view newsletters on the web page or print their own copy. Reference Documents This is an area where all kinds of documents can be stored for easy access by members. Typical documents found here include the club staff listing with phone numbers and email addresses, by-laws, etiquette guidelines, operating hours, rules, tournament history...whatever documents you wish, as many as you need. Member Statements Members can view statements and F&B balances and in some cases even drill down to the chit level detail. This function is available if the club's accounting system has the capability to export statement reports for web viewing. Guest Information This page on the public side of the website typically displays a map to the club that is clickable for extra mapping options, a weather magnet for local weather conditions that is clickable for extra weather information, plus other information pertinent to guests, such as dress code, contact phone numbers in case they are running late, instructions for getting around at the club, facilities available to guests such as locker rooms, and anything else that would make a guest's visit more enjoyable. Club Poll This active-when-you-want-it feature lets you ask a simple question of the membership. Not to be confused with our full-blown survey system, the Club Poll is a community posting where members can view the current voting results for a single question. Each member is allowed only one vote but they can view a graphical report on how the voting is proceeding at any time. Great for fun questions, trivia and as a way to get members involved in the website. Surveys Launch your own membership surveys to measure membership preferences and views on any subject. Surveys can be attached to any page of the members only section or they can be emailed to all members or special groups of members. Survey results are displayed graphically for easy analysis. Special Access Section Certain website pages can be made visible only to special groups within the club such as the Board of Directors. Such access can alternatively be set up for the club's management team, club employees, owners/investors or any other select group other than members-at-large. Automatic Login This permits members to log in only once to the website. After that, the website remembers them, and when they return, it bypasses the member sign-in screen so they can get right to the information they need, starting with the member home page, Announcements. Club Links The website provides for an unlimited number of website links that are of interest to club members such as USGA, USTA, CMAA, community websites, local events and organizations, weather, search, real estate, etc. Member-to-Member Members who have consumer-oriented businesses in the area can arrange to use this feature to announce the availability of their goods and services to other members. This convenience for club business-owners is equally appreciated by the club members who enjoy a greater comfort level in dealing with fellow club members. Email Forms Email forms can be inserted on any page in the website so that members or guests can communicate with the club, sign up for events, make reservations, etc. The club can create their own forms, add as many fields as desired, place the forms anywhere on the website and define to whom the information should be emailed when a form is filled out by a member or guest. Content Management All content on the website is managed by a Club Website Administrator who has typical office skills and a computer capable of connecting to the internet. No programming knowledge of any kind is needed. Everything in the website design has been developed to make it easy for anybody with basic office computer skills to effortlessly manage all website content. No special software is needed; in fact, the content can be updated from any computer anywhere. Statistics A stats package keeps track of visits to the website. The package tracks dozens of interesting factors. This is a great way to measure month-to-month traffic to the website.
